Office Coffee Machine Buying Guide

An office coffee machine should make it easy for staff and visitors to obtain consistent drinks without creating an unrealistic cleaning or support burden. The best choice begins with actual use, not a generic “office” label.
Count people, then estimate drinks
Staff numbers are only a starting point. Estimate drinks per person, visitors, meeting demand and the busiest period. A small team with concentrated breaks may create more peak pressure than a larger team using the machine throughout the day.
Define the beverage menu
Record demand for black coffee, espresso, hot water and milk drinks. A milk-heavy menu increases cleaning, refrigeration and replenishment responsibilities. Decide whether users need a broad menu or a smaller selection that is easier to manage consistently.
Choose an operating model
Bean-to-cup machines are often well suited to shared environments because they automate preparation. Traditional espresso machines can provide greater hands-on control but require a capable grinder, trained operators and a more involved workflow. Compare the two in our machine-type guide.
Check capacity and peak service
Confirm the model’s intended environment and capacity. Consider consecutive drinks, refill frequency, grounds and drip-tray capacity, milk supply and the time users can reasonably wait. Allow for growth without selecting a machine that is unnecessarily complex.
Water, milk and placement
A reservoir machine is easier to position but must be refilled. A plumbed machine can reduce refilling but needs suitable water pressure, filtration and site preparation. Plan hygienic milk storage and measure the full space, including access for cleaning and servicing.
Assign cleaning ownership
Decide who completes daily rinsing, milk cleaning, waste emptying and scheduled cleaning cycles. Without clear ownership, even an excellent machine can deliver poor results and develop avoidable problems. Keep compatible products on site and follow the manufacturer’s instructions.
Consider cost over the full operating period
Include coffee, milk, cleaning products, filters, accessories and maintenance—not only the machine price. Avoid promising a fixed saving without using the organisation’s actual beverage consumption and costs.
